Delivered with Aggregate Intellect on the Sherpa-B learning platform, using its KnowledgeOps methodology.

Who it's for

  • Support staff and team leads who write help articles, FAQs and scripts
  • Technical writers, trainers and documentation staff
  • Admin, records and operations professionals who know where the information lives

What graduates can do

  • Audit a knowledge base for gaps, duplicates, contradictions and outdated content
  • Write and structure content that both AI and people use correctly
  • Set up ownership, review cycles and retirement rules so knowledge stays current
  • Keep sensitive and regulated information out of the wrong answers
  • Trace a wrong AI answer back to its source and fix it

The method behind the role

What is KnowledgeOps?

KnowledgeOps, developed by Aggregate Intellect, is the operational discipline of turning an organization's institutional knowledge — the expertise in people's heads — into repeatable, scalable systems. Without it, knowledge is lost to staff turnover, inconsistency and bottlenecks.

The three pillars

Capture

Extract expertise from individuals into structured, reusable formats.

Systematize

Turn captured knowledge into workflows, AI agents and playbooks.

Deploy

Embed that knowledge into daily operations, at scale.

Day to day, it runs as a closed loop. The Knowledge Curator is the steward who keeps that loop turning — so AI handles the repetition and people keep the judgment.

01

Acquire and shape

Capture knowledge deliberately, and turn the unwritten expertise of your best people into something explicit.

02

Craft and review

Turn that knowledge into reusable articles, prompts and workflows, and test them before anyone relies on them.

03

Approve and integrate

A human signs off, then the knowledge is built into the tools people and AI use every day.

04

Operate and monitor

Watch how it performs in real work, trace wrong answers to their source, and feed what you learn back into step one.

“Review is what separates a knowledge base from a knowledge system.”

— The KnowledgeOps Manifesto, Aggregate Intellect

Why KnowledgeOps, why now

Organizations have tried to capture expertise for decades with wikis, manuals and knowledge-management systems. It took enormous effort, and the result was still just text people had to read and interpret.

The technology has now arrived; the discipline to use it hasn't caught up. That gap — between what's possible and what organizations actually do — is where KnowledgeOps lives, and where the Knowledge Curator works.

Large language models make it possible, for the first time, to:

  • Capture expert reasoning in plain language and apply it reliably at scale
  • Build AI that follows your organization's own methods, not just generic knowledge
  • Give non-experts access to expert judgment, in context, when they need it
  • Keep improving the knowledge as new expertise is created

KnowledgeOps isn't about replacing expertise with automation. It makes expertise far more deployable: every pattern that took a senior person a decade to learn becomes available to someone three years into their career. See the KnowledgeOps maturity journey

Curriculum

Eight modules, taught brand-neutral so the skills apply to any AI assistant or knowledge platform. Select a module to see what it covers.

01

KnowledgeOps and how AI uses knowledge

The KnowledgeOps loop and the stages organizations move through, and how AI assistants find and use your content — and why outdated, conflicting or missing content produces wrong answers.

02

Acquire and shape: auditing and capturing knowledge

Inventory what you have; find gaps, duplicates, contradictions and stale content; interview experts to capture what was never written down.

03

Craft and review: writing for AI and people

Structure, one clear answer per question, plain language, tags and metadata; building reusable prompts and templates; testing them before release.

04

Approve and integrate: governance and ownership

Content owners, review cycles, version control, approvals, and rules for retiring content.

05

Risk, privacy and compliance

Keeping personal, confidential and regulated information out of AI answers; permissions, bias and copyright.

06

Operate and monitor: closing the loop

Reading AI failure logs and escalations, tracing wrong answers to their source, and measuring answer quality. Working with escalation specialists.

07

Tools and platforms

Hands-on practice in brand-neutral demos of common knowledge-base and AI assistant platforms.

08

Industry electives and career launch

Choose retail, financial services, healthcare, telecom or internal help desks. Plus resume, interview practice and portfolio.

How certification is earned

Proven on a real knowledge base, not in a multiple-choice test.

Audit and repair project

The core of the assessment: audit a flawed sample knowledge base, fix it, and show the AI's answers improve — scored against a published rubric.

Rewrite exercise

Restructure real-world articles so both AI and people get the right answer.

Knowledge check

A short exam on how AI uses knowledge, governance and risk — a small share of the grade.

Capstone portfolio

Before-and-after work graduates keep to show employers. Pass mark: 80% overall, with a minimum of 60% in each section.

Roles it prepares you for

Questions

Is this a technical course?

No coding is required. It suits people who are organized, write clearly and care about getting details right. Module 1 explains how AI systems use knowledge.

How does it relate to the Escalation Specialist course?

They are partner roles. Escalation specialists catch AI failures as they happen; knowledge curators fix the content behind them so they don't happen again. Teams often train both.

Can learners work on our own knowledge base?

The graded project uses a shared sample knowledge base so everyone is assessed fairly. Learners are encouraged to apply each step to their own organization's content between sessions, so they return with real improvements underway.

How much time does it take each week?

About 10 hours, including live sessions and project work.
